Our Client Develops, Manages, and Operates Ireland’s Electricity Grid. They are responsible for the safe, secure and reliable supply of Ireland’s electricity. Their job is to bring Power from where it is generated to where it is needed throughout Ireland, Onshore and Offshore.

The Irish Government is taking major steps to make Ireland carbon neutral by 2050. These steps include a commitment to increase the proportion of Electricity Generated from Renewable sources. Ireland’s Climate Action Plan places Offshore Wind at the centre of the State’s commitment to producing up to 80% of our energy from renewable sources by 2030, by installing around 5GW of Offshore Wind Capacity in the maritime zone.

Our Client plans to develop an Offshore Electricity Transmission System to deliver up to 900MW of Electricity from Offshore Wind Farm(s) (OWFs) off the south coast of Ireland.

Job Description

The Document Controller role is in the Offshore Delivery Team and will report into the Offshore PMO Head of Function. The Document Controller must possess a good understanding of the project delivery process and timescales to effectively deliver a project. It is expected that the candidate will be educated to the degree level in a Project Management, Engineering, Or Construction industry discipline. Strong communication skills and being pro-active are essential requirements for this role.

Key Responsibilities

  • Responsible for facilitating Information Documentation Production, Communication and coordination (i.e. Technical Reports, Monthly Progress Reports, Meeting Minutes, Meeting Agendas, Drawings, Photographs, Consultant Reports).
  • Perform Document Controller duties on existing system as per existing document management process.
  • Work as part of team acting as a link to external parties and teams for receipt and issue of documents and Design Submissions for technical teams in accordance with defined Document Management Processes.
  • Preparation of Frequent Reports on status of documentation
  • Maintenance of Master Document Registers and reporting on same
  • Responsible for specifying document types and formats, and in producing and controlling their quality.
  • Responsible for the Design or Revision of Documentation, training materials and/or procedures which are used to communicate complicated information and concepts utilising an appropriate blend of text, diagrammatic and pictorial content for the intended users.
  • Creation, review, revision and formatting of Controlled Documents and procedures.
  • Control of Management System Content Continuous Improvement and revision cycles.
  • Preparation of training and induction materials pertaining to the Development and Management of Controlled Documents.
  • Induction, training and coaching of personnel in the preparation and management of Controlled Documents.
  • Preparation of Diagrams and Process Maps that can be included within controlled documents to illustrate step by step processes and/or workflow.
  • Responsible for ad-hoc duties/projects when required.
  • Establish and maintain Document Control Processes and procedures for all Project Documentation.
  • Monitor Document Control Processes to ensure efficiency, accuracy, and compliance.

Knowledge, Skills and Experience

  • Bachelor’s degree in a related field such as Project Management, Engineering, or Business Administration.
  • Minimum of 8 years’ experience in Document Control in large scale construction industry or engineering industry.
  • Excellent communication skills in dealing with multiple stakeholders.
  • Proactive in pursuing stakeholders for review and sign off on documents.
  • Demonstrate strong Document Control and Information Management skills with excellent attention to detail.
  • Experience providing training to multiple stakeholders on Document Control processes and procedures.
  • Ability to manage effective relationships with strategic stakeholders and interfacing functions.
  • Extensive knowledge and experience with Electronic Document management systems (SharePoint, Aconex, Viewpoint or similar), MS office suite.
  • Experience in monitoring various Document Control Processes and assurance.
